Forthview Lodges – Terms and Conditions of Hire

Forthview Lodges (“we”, “us”, “our”) and the person making the booking (“you”, “your”, “the Guest”) agree as follows.

  1. Booking, Deposit & Payment

1.1 A booking is confirmed only once we issue written confirmation (by email or otherwise) and you have paid the total cost of the duration of the stay in advanced.
1.2 For cancellations (see cancellation clause) (7.0)

  1. Rates, Minimum Stay & Seasonal Pricing

2.1 Mid-week stays (Monday to Thursday nights) standard minimum 2-night stay, non-standard 1-Night stays are priced at a higher rate.

2.2 Weekend stays (Friday & Saturday nights) standard minimum 2-night stay, non-standard 1-Night stays are priced at a higher rate.

2.3 We reserve the right to apply seasonal pricing adjustments (e.g. during high season or special events).

2.4 All rates shown include electricity unless otherwise stated.

2.5 Rates provided by 3rd Party Advertising & Promotional sites such as Booking.com are not controlled by us. 

  1. Arrival (Check-in) & Departure (Check-out)

3.1 Please provide your estimated time of arrival in advance.
3.2 Check-in is available from 15:00 hours.
3.3 Check-out time is 10:00 AM on the departure day.
3.4 Late check-out or early check-in may be possible by prior arrangement, subject to availability and additional charge.

  1. Use of the Property & Occupancy

4.1 The accommodation is for holiday use only and shall not be used as a person’s principal residence.
4.2 The maximum number of occupants shall not exceed the number specified in the booking confirmation.
4.3 You may not sub-let or assign the booking.
4.4 You must act in a courteous manner and not cause nuisance or disturbance to neighbours, other guests, or the site.
4.5 No parties (such as stag/hen nights) are permitted unless previously agreed in writing.

  1. Keys, Security, Lights, Utilities & Appliances

5.1 Keys will be provided (or access codes) for entry. You must return keys or secure them as directed (e.g. to a lockbox) on departure.
5.2 You are responsible for the security of the lodge during your stay and until we re-enter. All windows and external doors should be locked when you leave.
5.3 Upon departure, all lights, television, and non-essential electrical appliances must be switched off.
5.4 The hot tub lid must be closed/secured when not in use.
5.5 You must use all appliances, hot tub, heating, and utilities responsibly and in accordance with any instructions provided.
5.6 Any damage, misuse, or excessive utility usage may incur additional charges.

  1. Cleaning, Condition & Damage

6.1 You must leave the lodge in a clean and tidy condition.
6.2 Report any damage or breakages before your departure.
6.3 You are liable for the reasonable cost of repair or replacement of any damage (beyond fair wear and tear) to the property, its fixtures, contents, garden, hot tub, etc.
6.4 We reserve the right to charge a cleaning surcharge if the property is left in an extremely dirty state.

  1. Cancellation & Refunds

7.1 If you wish to cancel, you must inform us in writing (email or letter).
7.2 Cancellation charges will depend on how far in advance you cancel, relative to the arrival date:

7.3 If we can re-let the lodge for the same period, we may (at our discretion) reduce the cancellation charge proportionately (less any administrative fee).
7.4 We strongly recommend you take out holiday cancellation insurance to cover costs in case you need to cancel.

  1. Liability, Insurance & Force Majeure

8.1 We shall not be liable for any loss, damage, injury, or inconvenience caused by events beyond our control, such as power cuts, water supply failures, weather conditions, extreme events, or third-party actions.
8.2 Our liability (if any) is limited to the total amount you have paid for the booking.
8.3 You are responsible for insuring your personal belongings and any valuables.
8.4 We take no responsibility for theft, loss, or damage to your vehicles or property while on site.
8.5 If repairs or maintenance are necessary during your stay (e.g. heating, plumbing, electrical), we will make all reasonable efforts to rectify the problem quickly, but accept no liability for downtime or inconvenience, provided we act reasonably.

  1. CCTV / Security Cameras

9.1 Security cameras are installed at the site entrances for safety, security, and fraud prevention.
9.2 These cameras do not monitor inside the lodges or private guest areas.
9.3 By staying with us, you consent to the use of the cameras in these external areas.

  1. Right of Entry & Maintenance

10.1 We (or our agents) reserve the right to enter the property at reasonable times (with advance notice whenever possible) to carry out inspections, maintenance, repairs, or in case of emergency.
10.2 In an emergency, access may be without notice, if necessary to protect safety or property.

  1. Smoking, Pets & Kids, Other Rules

11.1 Smoking is strictly prohibited inside any lodge. You may smoke in external designated areas only and must dispose of butts safely.
11.2 No Pets allowed.
11.3 All local rules (e.g. quiet hours, parking rules, waste disposal) must be respected.

11.4 All occupants must be over the age of 21

  1. Data Protection & Privacy

12.1 We will use your personal data (name, address, contact details) to manage your booking, communicate with you, and provide services.
12.2 We will process your data in accordance with UK GDPR and our privacy notice.
12.3 We will not share your personal data with third parties, except as necessary (e.g. local management, maintenance, legal authorities) or where required by law.

  1. Complaints & Disputes

13.1 You should notify us of any problems during your stay as soon as possible so we can attempt to resolve them.
13.2 Any claim or complaint must be made in writing within 7 days after check-out, accompanied by supporting evidence.(Use provided complaints form)
13.3 If a refund or compensation is offered and accepted, that is the final settlement.

  1. Miscellaneous

14.1 The contract is governed by the laws of Scotland, and in the event of any disputes, the Scottish courts shall have non-exclusive jurisdiction.
14.2 These Terms & Conditions supersede any prior agreements or discussions.
14.3 If any provision of these terms is held invalid or unenforceable, that provision shall be severed, but the remainder shall continue in full force.
14.4 Making a booking constitutes acceptance of all these Terms & Conditions.

      • Close & secure the hot tub lid
      • Return keys or place in the designated lockbox
      • Leave the lodge in a tidy condition
  • You are responsible for any damage beyond fair wear and tear.
  • Security cameras operate at site entrances (not inside lodges).
  • No smoking inside. Pets allowed only if agreed in advance.
  • Respect neighbours and keep noise down, especially between 10:00 PM and 8:00 AM.
  • If you notice damage or an issue, report it immediately so we can fix it for you.
